AI Agent and Chatbot Development Services

Gray-Works designs and builds AI agents and chatbots for businesses and organizations: website and support chatbots, document assistants that answer from your own files, phone agents that book appointments, and back-office agents connected to your systems. We build on Claude, GPT and Gemini. A simple chatbot or automation typically goes live in 2 to 4 weeks; complex, multi-system agents take 8 to 12.

What an AI agent can do for your team

An AI agent is software that reads, decides and acts on a task within limits you set: it can answer a question, fill in a form, book a meeting or route a request, then hand off to a person when it should. The best first projects are repetitive tasks where staff re-type data, answer the same questions or chase the same follow-ups.

Common examples are answering website visitors from a knowledge base, drafting documents from a structured interview, booking and rescheduling appointments by phone, and sorting incoming requests to the right team.

Agents and chatbots we build

Website and support chatbots

Chatbots that answer customer questions on your website from a knowledge base you control, and hand the conversation to a person when it needs one. The AI agents in our own GRAYMATTER Business Suite answer web chat and email this way.

Document assistants (RAG) that answer from your own files

Retrieval-augmented generation (RAG) means the AI looks up your own policies, manuals or records before it answers, instead of guessing. We build these assistants with LangChain and the model that fits your accuracy, cost and data requirements.

Phone agents that book and reschedule

For EverCare Pediatrics, an AI agent calls nurse applicants to agree an interview time, books it against the practice's own availability, and handles reschedule calls on the office line after verifying the caller.

Back-office agents connected through n8n

Agents that work behind the scenes: reading incoming documents, updating records and triggering the next step in a workflow. We connect them to the apps you already run with n8n workflow automation.

How we keep AI agents safe with your data

We give every agent the narrowest job it can do well, keep a person in the loop for anything that matters, and design it to fail safely.

  • Fixed field lists. In the EverCare document assistant, the model can only fill a fixed list of form fields, is instructed to refuse identifiers and health information, and the applicant reviews every value before it is saved.
  • Human approval. The assistant in our own CRM proposes actions, such as adding a contact or moving a deal, that run only after a person approves them.
  • No invented answers. The Emergency Safety Planning interviewer is held to never inventing an answer and never stating a legal requirement; the plan structure comes from FEMA guidance, not from the model.
  • Fail closed. If an AI service is not configured, the EverCare site simply runs without those features rather than breaking.
  • Model choice by data rules. We choose Claude, GPT or Gemini per use case, based on accuracy, cost and where your data is allowed to go.

Examples: EverCare Pediatrics and Emergency Safety Planning

EverCare Pediatrics. Applicants upload a resume or licence, and an AI assistant proposes form values that the applicant reviews field by field. A second AI agent calls applicants to agree an interview time, books it, and handles reschedule calls. Read the EverCare Pediatrics case study.

Emergency Safety Planning. A guided AI interview drafts an organization's emergency operations plan across the Basic Plan, annexes and continuity. One emergency-management practitioner rebuilt a real municipal plan in it in about six hours, against the three to five days the same plan took on paper. Read the Emergency Safety Planning case study.

How long does it take to build an AI agent?

A simple chatbot or workflow automation typically goes live in 2 to 4 weeks. Agents that involve multi-system integrations or enterprise-scale deployment take 8 to 12 weeks. You get a detailed timeline in the proposal, after the free consultation.

Frequently asked questions

A chatbot answers questions in a conversation. An AI agent can also take actions, such as filling in a form, booking an appointment or updating a record, within limits you set. Many projects start as a chatbot and add agent actions once the answers are reliable.

We build on Claude from Anthropic, GPT from OpenAI and Gemini from Google, with LangChain for retrieval and n8n for workflows. We choose per use case based on accuracy, cost and where your data is allowed to go.

Yes. We use retrieval-augmented generation (RAG), so the assistant looks up your own policies, manuals or records before it answers instead of guessing.

Yes. We provide ongoing support including system maintenance, performance monitoring and improvements based on how the agent is used, so it stays accurate as your business changes.
